CIP Community Involvement Project/What to do?

Students

will find a project that fits their talents and sounds like fun. They will

 

a. Make decisions with other members about where and when and how to work for project student contract(2 parts)
parent permission forms Form A: if you are always going on the same day of the week. 
Form B: for a CIP outside Istanbul to the student leader making sure they are signed by parents
c. Help make ‘curriculum’ for project

d. Go to meetings called by:

* CIP coordinators

* CIP advisors

* CIP leaders

e. Be responsible for their own work in the project

f. Work as a team

g. Read and respond to emails regularly

h. Represent the school when on site and behave responsibly [of course!] eep a record of their hours and have them signed each time by appropriate person (Record Keeping sheets.)

j. Write a journal after each trip to the site (Journal Prompts)

k. Write a final essay (Final Essay Format)

l. Fill out the (cover sheet) and hand in journal, final essay, record keeping sheet and cover sheet to the student leader

m. Get in all above forms on time according to CIP calendar

n. Contribute to final presentation.

Student leaders

are responsible for the basic organization of the group. They are the liaisons between the advisor and the students. 

 

They will
a. Write an explanation of project’s official goals with the advisor and fill in the student's sign-up form
b. Make contacts with the organization with advisor or with advisor’s knowledge. Send official letter to the institution (Official letter to institution)
c. Find students to be in group and fill out the sign-up form and hand into CIP office (
sign up form)
d. Communicate!!:
- fix a meeting day and time with their group.
- arrange for how to communicate with the group for emergency or short term needs email? Telephone? Facebook?
- Meet with group -as necessary and take attendance at these meetings
- Should be in contact with CIP coordinators, and go to meetings called by them for student leaders -Keep all communication lines open between advisor, students and CIP office
- read and respond to emails every day .
e. Make a work plan with the advisor about who is going to work, and when. (For educational and orphanage projects, they are responsible for curriculum etc ). A copy of this plan should be given to the CIP committee.
f. Make a budget, if needed.
g. If sponsorship is needed, first contact the CIP office
h. Make sure the group members understand and know where to find the necessary forms
i. Make sure a copy of all contract forms and parent permission forms get handed in to the advisor. Student contract and parental permission. Form A: if you are always going on the same day of the week. Form B: if you are going on different days (i.e. sometimes Saturdays sometimes Sundays) Form C: for a CIP outside Istanbul.
j. Make sure the plan is working. If it is not, reassess plan with advisor and CIP coordinators
k. Figure out bus or transportation needs. If using school buses, inform Müge Tüylüoğlu- 10 days for within Istanbul, 20 days for outside Istanbul.
l. Hand in their own and the students’ documents to the advisor regarding cover sheet, record hours (Record Keeping sheets, write journals (Journal Prompts) and final essay Final Essay Format [ see student list}
m.
contribute and organize final presentation.
n.
contribute to displaying project on RC Website (Form for CIP website/ brochure/digital record)

 Advisors

are responsible for the organization of the group. 

 

They will:

a. Decide with the students where, when and what the project will consist of.

b. Go to the organization at the beginning of the project with the students and assess needs. Accompany students as needed in the project. If it’s not necessary for students to be accompanied each time, advisor should go for a minimum of 2 or 3 times a semester.

c. Send official letter to the institution you will be working with (Official letter to institution) and give it back to the CIP office.

d. Help with the plan of what the students will do in their CIP (the curriculum of the project)

e. get copies of parent permission forms and student contracts to CIP office.

f. If sponsorship is needed, contact the CIP office [or have leader do this]

g. Meet with students regularly to check progress of planning and execution of project (ex.once a month on Thursday after school or during the school day)

h. Make sure that students stay motivated, stay on task and bring their project to fruition.

i. Keep all email and tel.numbers of all group members, parents and CIP committee members.

j. Share concerns and ideas on project development with other advisors and CIP committee and leaders in meetings.

k. Figure out bus or transportation needs. If using school buses, inform Müge Tüylüoğlu- 10 days for within Istanbul, 20 days for outside Istanbul.

l. Make sure students are writing journals during the project. Read and give feedback on journals and final essays.

m. Keep a file with all necessary papers. Follow up documents: sign-up form, (Student contract and parental permission. Form A: if you are always going on the same day of the week. Form B: if you are going on different days (i.e. sometimes Saturdays sometimes Sundays) Form C: for a CIP outside Istanbul.(Record Keeping sheets.), (Journal Prompts), (Final Essay Format), (Form for CIP website/ brochure/digital record) Make sure hours are tallied and given in by deadlines in CIP calendar.

n. Read all the journals and essays by the students and give feedback via email to the students and cc the same email to the CIP office.

o. Give final essays and record sheets to CIP Coordinators with a check list.

p. Write a short report about the project and email it to the CIP office.



Parents will

  1. Brainstorm with child about possible projects and support as needed
  2. Sign contract forms Student contract
  3. Sign parental permission form for the times when your child is going to the site. parental permission. Form A: if student is always going on the same day of the week. Form B: if student is going on different days (i.e. sometimes Saturdays sometimes Sundays) Form C: for a CIP outside Istanbul.
  4. Check and sign the work hours.
